Build your fleet. We'll back the office.

FileFlo reads your FMCSA record every day, builds and checks every driver's file against the rule, keeps your filings and deadlines in view and has your audit packet ready. More support behind the office means more of your attention on growing the business.

You approve what goes out. Nothing reaches your drivers until you switch it on.

The office work behind a growing fleet.

  • Your public record

Reads your FMCSA record from your USDOT number every day and opens a work item if your authority goes inactive or your insurance filing drops.

  • Driver files

Builds each driver's qualification file in the order the rule lists it, cites every requirement and marks what is on file and what is missing.

  • Records in, checked

Reads each record you add, dates it, files it to the rule it satisfies and holds anything that fails, with the fix named.

  • Filings and deadlines

Keeps UCR, 2290, IFTA and IRP deadlines in view, along with every renewal and who owes what.

  • Audit ready

Keeps a packet organized to the regulations, with a sealed link you can share with an inspector and a record of every action.

Interstate carriers, 1 to 50 trucks

Driver files, your trucks, filings and deadlines, your public record and the audit packet, with what is missing, who owes it and the requests that keep them current.

Part 135 on-demand operators

Crew qualifications, trip readiness, aircraft, operation documents and the audit packet, with the record and the rule behind each answer.

FileFlo for operators

Checked before it counts.

More support only helps if you can trust the work. Every answer FileFlo gives shows the record and the rule behind it.

  • Each record you add is read, dated and filed to the rule it satisfies. Anything that fails is held, with the rule and the fix named.
  • Only accepted records count as on file.
  • Work your office does is recorded too: the annual review signed in the app, the medical examiner registry check, the Clearinghouse query date.
  • The in-app assistant shows you the full action before it does anything.
  • Add a driver and the file starts with its list and its clock. A driver who leaves drops off the watched list.
  • Switch the requests on and FileFlo asks drivers and the office for renewals and missing records, each with an upload link that closes the item, and tells the owner every week while anything stays open.

Product evidence

Follow one driver's file from start to finish. See the requirements cited for that driver, a medical card held because it carries another person's name, the rule it failed and what fixes it, then the audit packet with the corrected record in place. Shown with demonstration data on a test carrier.

See how FileFlo works

What the DOT record check is, and is not.

  • FileFlo is a private software company, not a government agency. No agency referred you here.
  • The free check reads the public FMCSA record anyone can look up with a DOT number. It does not see your driver files or anything private.
  • FileFlo never asks for your FMCSA PIN or your Login.gov sign-in.
  • Running the check costs nothing.
  • Plans are on the page: Setup is $499 once and includes 30 days of Core. Core is $199 a month for 1 to 15 trucks. Fleet is $399 a month for 16 to 50 trucks.

How FileFlo works with your team.

FileFlo works alongside the people and providers you already rely on. It does the records work and shows what is outstanding. The decisions, the sign-offs and the authority to operate stay with you.

For carriers

Your consortium, your MVR provider and the Clearinghouse keep their work. FileFlo tracks each one, shows when it is due and files the result you send. UCR, 2290, IFTA and IRP stay in view, and each item closes when you confirm you filed. Records come in by upload, a ZIP, each driver's own phone link, your cloud folders or email to your company's own inbox address, and each is filed against the rule. Bring your consultant.

For operators

Your scheduler, your maintenance tracker and your SMS keep their place. FileFlo keeps your SMS documents and maintenance program records on file with their status, watches each aircraft's annual, and brings each pilot's training and check records into one status with the rule cited. Records come in by upload or from your cloud storage, and pilots send medicals through their own link. Your Director of Operations makes the operational decision.

Proof

Check us before you pay.

  • Your own record first. Enter your USDOT number and see what the public FMCSA record shows, free, with no signup: Check my DOT record.
  • Read the walkthrough on a test carrier, from the first upload to the audit packet: See how FileFlo works.
  • The price, the refund and exactly when your card is charged, in writing before you pay.
  • Anyone holding a packet you issue can check its fingerprint on a public page to confirm it is the snapshot you issued.
  • Every piece of human work FileFlo owes you is a tracked, dated obligation you can see.
  • FileFlo is a private company, and no agency referred you here.

Check the reasoning yourself.

  • Every pilot's status and every trip review shows the record and the rule behind it.
  • A check in its grace month is never shown as cleared; a self-signed or out-of-fleet check is refused, with the reason.
  • Read how a trip is reviewed, from the records to the release decision: See how FileFlo works.
  • The Audit-Ready Crew Records Setup is $1,500 once and includes 30 days of FileFlo. Then $150 per aircraft per month for 1 to 15 aircraft, if you continue; nothing is charged if you do not. 16 or more aircraft, air medical and fractional operations are priced by written quote. Ask for one and a person at FileFlo answers in writing.

Plans and setup.

The compliance department you never had to hire.

Every driver's file built and kept current, every expiration and renewal date in front of you before it lapses, and the audit packet ready on demand. For 5 trucks or 50.

Core at $199 a month is $2,388 a year, and Fleet at $399 a month is $4,788. Hiring a DOT compliance manager costs about $90,000 a year.

The hiring figure: ZipRecruiter's average pay for a DOT compliance manager, $89,948 a year (August 2025).

Questions

What does FileFlo do?

For a carrier, FileFlo reads your FMCSA record every day, builds and checks each driver's file against the rule, keeps your filings and deadlines in view and keeps the audit packet ready. For a Part 135 operator, it computes each pilot's checks and medical from your records, reviews each trip for crew and aircraft, keeps your operation documents on file and keeps the audit packet ready. Every answer shows the record and the rule behind it. You approve what goes out, and the decisions stay with you.

What does it cost?

For carriers, Setup is $499 once and includes 30 days of Core. Then Core is $199 a month for 1 to 15 trucks, or Fleet $399 a month for 16 to 50, if you continue. For Part 135 operators, the Audit-Ready Crew Records Setup is $1,500 once and includes 30 days of FileFlo. Then $150 per aircraft per month for 1 to 15 aircraft, if you continue. 16 or more aircraft, air medical and fractional operations are priced by written quote, and asking for one costs nothing.

What do you need from me?

Your USDOT number, the name of at least one driver and one usable record; then the records you hold, as phone photos, scans, a ZIP, or through each driver's phone link.

Who checks the work?

The rule does, and then you do. A record that fails a rule becomes one review item naming the failed rule and the fix; a held record never closes an obligation. The reviewer of a driver's annual review signs the note in the app, and a driver cannot review their own record. The in-app assistant shows you the full action and acts only when you approve it. Each regulated act a document evidences goes into an append-only ledger.

Does FileFlo contact my drivers?

Only when you say so. You switch each routine on and choose who hears, how and when, or choose to review every message first. Once a routine is on, FileFlo asks the driver and the office for each renewal at 45, 14 and 3 days before the due date and 1 day after, with an upload link that closes the item; drivers who text YES get it by SMS, everyone else by email, and STOP means stop. Your list of what is due, updated every hour, shows who owes each item.

Can I email records in?

Yes. Your company has its own inbox address; email a record to it and it is filed against the rule.

What happens when it reads something wrong?

The record is held for review, and one review item names the failed rule and the fix. A held or unreadable record never closes an obligation.

What happens to my data?

A signed-in user sees only their own company's records and files. Personal data stays out of logs and error text. More on the security page.
